Secretary – EU Delegation, Dar es Salaam

About the role

The European Union Delegation in Dar es Salaam is seeking a Secretary to support the Head of the Infrastructure Section. This is a fixed‑term position (2 years) with a 9‑month probation period, working within a team of ten professionals.

Key responsibilities

• Manage daily office communications, meetings, and workflow for the Infrastructure Section.
• Arrange appointments, maintain the Head of Section’s calendar, receive visitors, and handle telephone enquiries.
• Organise high‑level meetings, prepare agendas, distribute documentation, take minutes and follow up on actions.
• Coordinate travel, hotel, expense and protocol arrangements for staff.
• Proofread and edit documents for accuracy, grammar, punctuation and style.
• Ensure the section’s logistical needs, including office supplies and inventory, are met.
• Develop and maintain internal procedures and filing/archiving systems for correspondence and documents.

Required profile

• Ability to handle complex, sensitive or priority issues and provide guidance to colleagues.
• Strong organisational skills and attention to detail.
• Capacity to work under the supervision of the Head of Infrastructure Section.
• Flexibility to adapt to occasional atypical working hours.

Required skills

• Proficiency with filing/archiving software.
