Executive Secretary

About the role

The Executive Secretary will provide high‑level administrative support across regulatory compliance, corporate governance, immigration, trademark management and general office operations. The role ensures statutory and regulatory obligations are met on time while acting as a liaison between government bodies, internal teams and external partners.

Key responsibilities

• Coordinate and monitor compliance with government regulators such as BRELA, TMDA, TBS, NEMC, LATRA, Labour and Immigration departments.
• Process and renew business licences, permits, certificates and statutory registrations; manage annual returns, beneficial‑ownership filings and export‑license renewals.
• Oversee local and international trademark applications, renewals and record‑keeping.
• Handle work‑permit, residence‑permit, visa and dependent‑pass applications for expatriate staff, maintaining up‑to‑date immigration records.
• Support recruitment and onboarding of local and expatriate employees, including document verification, offer letters, visa assistance and travel arrangements.
• Arrange travel, manage calendars, assist with passport renewals, birth registrations and embassy documentation for expatriates.
• Maintain regulatory, contractual and statutory documentation, including distributor agreements and outsourcing compliance records.

Required profile

• Bachelor’s degree in Law, Business Administration, Public Administration, Human Resources or a related field.
• 3–5 years of experience in compliance, corporate affairs, regulatory affairs or administration.
• Strong organizational skills with the ability to manage multiple deadlines.
