Logistics Coordinator - Fuel Transport

About the role

A leading logistics company based in Dar es Salaam, represented by its client, is looking for a Logistics Coordinator to support and streamline end-to-end logistics operations. The coordinator coordinates trips, keeps in touch with drivers, ensures proper documentation and provides operational support to deliver petroleum products across regional routes including Zambia, DRC, Malawi, Burundi and Uganda. The role involves rotating shifts, including nights, weekends and public holidays.

Key responsibilities

• Allocate trucks with the Operations Team according to customer schedules and truck availability.
• Prepare trip sheets and ensure timely dispatch of trucks from loading points.
• Update and track trip nominations in the trip tracker system.
• Follow up with drivers during loading, border crossings, offloading and return trips.
• Maintain trip-wise logs of delays, breakdowns and operational incidents.
• Coordinate with the workshop on truck readiness and preventive maintenance.
• Ensure accurate preparation and handover of loading notes, gate passes, fuel orders, export documents and other paperwork, and verify trip completion files.
• Monitor GPS reports and trip progress, flagging delays at borders, terminals or offloading points and escalating them to the relevant departments.
• Support customers on trip status, ETAs and delivery confirmations, and share loading and offloading updates with the customer service team.
• Prepare daily trip status reports and maintain trackers for shortages, breakdowns and monthly escalations.
• Contribute to monthly performance reviews on turnaround time, fuel efficiency and delay analysis.

Required profile

• Minimum 3-5 years in logistics or fuel transport coordination.
• Current role in Operations, Fleet, Documentation or Planning.
• Strong communication skills with field teams and high accuracy in documentation.
• Reliable, responsive, solution-oriented and a team player.
• Willingness to work beyond office hours and to rotate shifts (nights, weekends, public holidays).
