Ops & Onboarding Coordinator

About the role

The Operations & Onboarding Coordinator will ensure smooth office operations, manage compliance documentation, and oversee merchant onboarding processes. This role supports leadership, HR, and external partners by maintaining accurate records and meeting regulatory timelines.

Key responsibilities

• Manage company correspondence, regulatory filings, and maintain an audit‑ready document management system.
• Compile, verify, and submit KYC documentation packages for mobile network operators.
• Maintain regulatory and compliance archives with version control and secure retention.
• Oversee merchant onboarding queues, following up on KYC/KYB requirements with merchants and internal teams.
• Coordinate meetings, appointments, and operational logistics for leadership and external stakeholders.
• Support HR onboarding, including employment documentation, induction scheduling, and statutory registrations.
• Handle inbound communications (email, phone, WhatsApp) and route requests to appropriate departments.
• Assist with compliance record‑keeping, audit trails, and data protection administration.
• Update company social media platforms and website content as directed.
• Maintain regulatory calendars for licence renewals, statutory deadlines, and compliance submissions.

Required profile

• Diploma or degree in Business Administration, Office Management or a related field.
• Minimum 2 years of office administration or executive assistant experience.
• Fluent in English and Swahili.
• Strong attention to detail, organisational and multitasking abilities.
• Ability to handle confidential information professionally.
• Experience in fintech, gaming or financial services is an advantage.
