Supply Back Office Officer

About the role

The Supply Back Office Officer will support TotalEnergies' fuel supply operations in Tanzania, ensuring accurate stock management, timely invoicing and compliance with regulatory requirements. This role works closely with suppliers, customers, fuel depots and internal teams to keep the back‑office processes running smoothly.

Key responsibilities

• Support implementation of supply back‑office procedures and monitor system versus physical stock alignment.
• Manage Lynks site compliance, monitor fuel stock levels for local, transit and hospitality customers, and use the company’s inventory management tool.
• Coordinate with fuel depots to update and reconcile daily stock data against KPIs.
• Process orders for hospitality and transit customers, ensuring accurate records and approvals.
• Enter data and maintain the supply inventory system, guaranteeing data integrity.
• Prepare daily and monthly reports on fuel stocks, consumption rates and deliveries.
• Verify invoices, support payment processing and ensure timely invoicing for hospitality and transit services.
• Maintain contract documentation, perform due‑diligence and register customer accounts.
• Collect hospitality billings, monitor income against the annual budget and support market intelligence activities.
• Provide reliable reporting, maintain file confidentiality and propose process improvements.

Required profile

• Bachelor’s degree in a business‑related field.
• Minimum of 5 years of experience in supply chain, back‑office or logistics operations.
• Strong understanding of customs processes for petroleum product imports.
• Proficiency with Microsoft Office, especially Excel, and ability to perform data analysis and basic coding.
