Documentation Executive – Export Operations

About the role

The Documentation Executive will ensure accurate and timely processing of export documentation for vessel voyages, including Bills of Lading, shipping instructions, invoices and manifests. Working closely with customers, agents and internal teams, the role supports smooth export operations from our Dar es Salaam office.

Key responsibilities

• Manage vessel voyages, routes and customer setup in the JBM system.
• Prepare and process export Bills of Lading, invoices and freight tax reports.
• Coordinate shipping instructions, amendments and related documentation with shippers, agents and the GCC.
• Issue Original Bills of Lading/Sea Waybills, handle telex releases and switch‑BL requests while maintaining accurate logs.
• Download and distribute cargo and freight manifests as required.
• Respond to customer queries on export documentation, invoices and EFD requirements.
• Prepare pro‑forma invoices and vessel certificates when needed.
• Support export file reconciliations and follow up on outstanding invoices after vessel sailing.

Required profile

• Experience in shipping or freight forwarding is preferred.
• Right to work in Tanzania.
• Excellent written and spoken English.
• Self‑motivated, well‑organized and able to learn independently.

Required skills

• Proficiency with MS Office applications (Word, Excel, Outlook, PowerPoint).
