Assistant Operations Manager

About the role

We are looking for an Assistant Operations Manager to support the planning, coordination and execution of port agency operations at our Dar es Salaam office. The role ensures vessels receive timely, compliant and cost‑effective services while upholding high standards of customer service and operational excellence.

Key responsibilities

• Assist in planning and coordinating vessel port calls, including arrival, berthing, cargo operations and departure.
• Liaise with port authorities, terminals, immigration, customs and service providers to secure clearances and monitor turnaround times.
• Process inward and outward vessel documentation in line with government regulations and company policies.
• Coordinate crew changes, medical cases and shore passes, maintaining communication with vessel masters and principals.
• Prepare and verify PDAs and FDAs, monitor operational expenses and support invoicing and financial reconciliation.
• Produce daily operational reports, maintain accurate records and contribute to KPI tracking and performance analysis.
• Attend port meetings, gather vessel movement updates and keep management informed of regulatory changes.

Required profile

• Strong understanding of maritime, port and immigration regulations.
• Excellent organisational and coordination abilities.
• Ability to work under pressure and meet tight deadlines.
• Effective communication skills with internal teams, ship masters and external stakeholders.
• Attention to detail and commitment to compliance.

Required skills

• Proficiency in handling maritime documentation and regulatory procedures.
• Familiarity with financial documentation such as PDAs and FDAs.
