Procurement Assistant

About the role

The Procurement Assistant supports the FAO Tanzania office by coordinating day‑to‑day procurement activities, ensuring that all purchases comply with FAO rules and procedures. Working under the FAO Representative and the Assistant FAO Representative (Administration), the role provides technical guidance to staff and partners across the organization.

Key responsibilities

• Create purchase requisitions in the GRMS system and maintain supplier/contractor records.
• Prepare and manage tender documents, draft simple contracts, and process amendments or renewals.
• Handle all procurement‑related correspondence, keep supervisors informed of status, and resolve any discrepancies.
• Follow up on purchase orders and contracts, monitor receipt of goods and services, and coordinate shipment to beneficiaries.
• Plan and manage delivery schedules, liaising with international suppliers, transport companies, and Tanzania customs.

Required profile

• Works under the guidance of the FAO Representative and receives technical direction from the National Procurement Officer.
• Collaborates closely with project management teams and other FAO offices.
• Provides procedural guidance on procurement rules to internal and external stakeholders.

Required skills

• Proficiency with the GRMS procurement system.
• Knowledge of procurement processes, tender preparation, and basic contract drafting.
• Ability to coordinate logistics with suppliers, transport providers, and customs authorities.
