Shipping Documentation Specialist

About the role

The Shipping Documentation Specialist will lead the launch and rollout of the company's Container Management System (CMS), transform offline container processes into standardized online operations, and provide training and ongoing support to internal teams, trucking partners and suppliers.

Key responsibilities

• Lead system launch: prepare, initialize data and deploy the CMS, ensuring smooth transition from manual to digital processes.
• Streamline business processes: convert container pickup, return, dispatch and reconciliation into online workflows.
• Develop and deliver user manuals and training sessions for staff, carriers and suppliers, handling daily operational queries.
• Monitor daily CMS operations, verify accurate entry of pickup documents, cost data and supplier information.
• Manage system permissions and maintain core master data such as suppliers, transporters and freight rate books.
• Collect optimization requirements from business units and coordinate system enhancements with IT or vendors.
• Perform digital reconciliation of supplier and transporter accounts, generate approval workflows and improve accuracy.
• Produce regular data analysis reports on transport timeliness, container anomalies and cost distribution to support cost control.

Required profile

• Bachelor's degree or higher, preferably in logistics, supply chain, information systems or related fields.
• 1‑3 years of experience in logistics, freight forwarding, international trade or supply chain management.
• Hands‑on project experience implementing or acting as a key user of logistics systems such as CMS, TMS, WMS or ERP.
• Strong understanding of ocean freight container pickup/return, trucking scheduling and supplier cost reconciliation.

Required skills

• Advanced Excel skills, including VLOOKUP and PivotTables.
• Experience with CMS/TMS/WMS/ERP logistics platforms.
• Data analysis and reporting using exported system data.
• System user permission management and master data maintenance.
