Procurement Assistant – Climate Resilience Project

About the role

The Aga Khan Foundation (AKF) is seeking a Procurement Assistant to support the Climate Resilience Project focused on regenerative farming in Arusha. The role will work closely with project and finance teams to ensure procurement activities are efficient, compliant, and aligned with climate‑responsive objectives.

Key responsibilities

• Assist in implementing and monitoring the annual procurement plan.
• Source, pre‑qualify, and evaluate suppliers, contractors, and service providers.
• Collect quotations, prepare bid analyses, and support supplier evaluation processes.
• Negotiate with vendors to secure cost‑effective, high‑quality goods and services.
• Prepare and maintain procurement documentation, including purchase requisitions, bidding documents, LPOs, contracts, and files.
• Update and manage the database of pre‑qualified suppliers.
• Coordinate with Finance to ensure timely invoice processing and settlement.
• Track deliveries, maintain accurate records, and support audit readiness.
• Promote environmentally sustainable and gender‑responsive procurement practices.

Required profile

• Diploma or Advanced Diploma in Procurement, Supply Chain Management, Logistics, or a related field.
• Minimum of 2 years relevant experience in procurement or supply chain, preferably in donor‑funded projects.
• Good knowledge of procurement procedures, vendor management, and contract administration.
• Familiarity with donor compliance requirements and best practices.
• Strong organizational and record‑keeping abilities with attention to detail.

Required skills

• Proficiency in Microsoft Office applications.
