About the role
We are looking for a proactive Office Assistant to serve as the first point of contact for visitors and customers, while providing comprehensive administrative support to our executive and operational teams. The role combines front‑office duties with HR‑related tasks to ensure a smooth, professional, and welcoming office environment.
Key responsibilities
- Greet and sign‑in all visitors, verify identification, and direct inquiries appropriately.
- Manage reception duties, including handling phone calls, routing messages, and maintaining a positive atmosphere.
- Arrange meeting rooms, equipment, and coordinate internal and external training sessions.
- Monitor office supplies inventory, reorder items, and ensure cleanliness and safety of workspaces.
- Support invoice processing, track office‑related expenses, and ensure compliance with company policies.
- Book travel, accommodations, and prepare itineraries for staff and guests, handling reimbursements.
- Organise corporate events, conferences, and take minutes of meetings.
- Assist HR projects such as training coordination and maintain related documentation.
Required profile
- Graduate degree (any discipline) with HR certification or equivalent.
- Minimum 2 years experience in front‑office management or an HR/executive secretarial role.
- Strong organizational skills and ability to multitask in a fast‑paced environment.
