About the role
The Administration and Procurement Officer supports the organization’s mission by managing procurement activities and overseeing fleet and occupational safety compliance. This dual‑focus position ensures value‑for‑money purchasing while maintaining safe and efficient transportation assets.
Key responsibilities
- Coordinate supplier negotiations and act as secretary to the procurement committee.
- Develop and issue requests for proposals, process purchase requests, and prepare procurement reports for senior management.
- Maintain relationships with suppliers and internal staff throughout the procurement cycle.
- Apply VFT rules and regulations, develop annual procurement plans, and identify fraud red flags.
- Lead market analyses to secure best value for goods and services.
- Manage fleet compliance, including driver permits, speed regulations, and vehicle inspections.
- Facilitate staff travel approvals and produce fleet performance reports.
- Ensure stewardship of vehicles, spare parts, fuel coupons, and related assets using tracking tools.
- Supervise filing of fleet documents and coordinate OSHA compliance, first‑aid certification, and business licensing.
Required profile
- Experience in procurement processes and supplier management.
- Knowledge of VFT procurement rules and regulations.
- Familiarity with fleet management and OSHA safety standards.
- Strong organizational and reporting skills.
